Paperless garage

How to run a paperless garage

Go paperless one document at a time, starting with the job card. The failure mode is running paper and digital together, so each replacement has to be genuinely faster than what it replaces.

Order of replacement

Job cards first, because everything else hangs off them. Then estimates, then invoices, then customer records and history.

Where paper still earns its place

Some garages keep a printed copy in the vehicle or a signed handover sheet. That is a deliberate choice, not a failure, as long as the master record is digital.

Avoiding the halfway state

Running both is worse than either. Set a date, agree it with the team, and finish old jobs on paper while every new job starts digitally.

Paperless rollout checklist

  • Pick the start date and tell the whole team.
  • Move job cards first.
  • Give every bay a device that works.
  • Agree what still gets printed.
  • Review after two weeks and fix the friction.

Questions

What about record keeping requirements?

Digital records are acceptable for most purposes, but check your own obligations and insurance requirements before disposing of anything.

Do we need tablets in the bays?

Something usable in the workshop helps. Mozomay runs in the browser, so existing laptops and tablets are usually enough.
